6. Feast of Faiths
6.a. Place of event
According to Teri, the Banquet Facilities are donating the facility for this event without charge. The group agreed that any leftover funds from this event should be given to the facility. We discussed the fact that the flier asks people to make the checks out to VCIC but we don’t have an account.
¨ Teri will ask Julie to see if we can run the funds through their account temporarily.
¨ Effective with the next meeting, Renée will take on Treasurer responsibilities.
¨ Effective with the next meeting, Kim Hawkins will take over recording secretary responsibilities.
6b. Caterer
Invoices were provided that show that the cost is about $18/person, plus $20/hour for two servers (need two servers for 50 people). Debbie estimates the total cost to be $965.25 plus tips for the meal only. Then the cost for the servers. Sheila’s catering requires $250 to hold the date. Some of us gave checks to Debbie made out to Sheila’s Catering. Sheila’s will supply plates, plastic utensils, napkins, and white tablecloths.
¨ VCIC is responsible for beverages and cups.
6c. Table set-up
The food will be served buffet style. For each table, however, we will color the tables to coincide with the name tags we will give out. The group discussed the merits of metal versus plastic utensils and concluded that for the price, we may have to go with the plastic.
¨ Teri will check with Banquet Facilities to see if they have china and silverware and find out how much it costs to use it. If this is not possible or affordable, we will use the plastic ware provided by Sheila’s.
¨ Percy will contact Debbie regarding the tablecloths and colored squares for the tables.
¨ Debbie will use what Percy provides to design table decorations.
